COVID-19 Policy

General

At Digiteum, we are strongly committed to keeping our team members and their families safe in these challenging times. We have created this Policy to maintain a safe and healthy workspace and provide a secure and productive working environment to all our employees and partners during the COVID-19 pandemic.

In this Policy, we provide essential guidelines on how to mitigate the spread of coronavirus in the office and adopt a remote work model. It includes best practices to arrange travel and commute and return-to-office, sick leave and exposure prevention policy and basic recommendations on how to keep the office environment safe and virus-free.

We strongly recommend that our employees follow and keep up-to-date with their local and national guidelines for coronavirus prevention.

This Policy is susceptible to changes and can be updated along with newly introduced COVID-19 protocols and guidelines. We will keep the latest version of our COVID-19 Policy on this webpage with the date of the last update and can send the printable version on demand. Scope

This Policy is the representation of our collective response to this challenge and applies to all of our employees who work in the office full-time, work remotely or adopt a hybrid workplace model.

Workplace arrangements

Work from home request

As of March 2020, we have adopted a remote-friendly approach and created an efficient and secure framework for employees to transit from office to remote or hybrid workplace model. Digiteum employees have an option to work in the office or remotely following the recommendations provided by the local and national government. Digiteum employees in Poland work remotely full-time until further notice.

If you opt to work remotely or, on the contrary, return to the office, send an email request to your department manager and Executive Manager to get instructions and have it arranged.

You must request work from home for at least 14 calendar days in the following cases:

  • If you are feeling ill, but you are able and willing to work.
  • If you’ve been in close contact with someone infected by COVID-19, with high chances of being infected yourself.
  • If you need to provide care to a family member infected by COVID-19. If this is the case, you will only be permitted to return to the office 14 calendar days after your family member has fully recovered and you are asymptomatic.
  • If you have recently been traveling and returned from any foreign country. We will ask you to work from home for at least 14 calendar days and return to the office only if you are fully asymptomatic.

Sick leave

We strongly recommend that all employees familiarize themselves with COVID-19 symptoms and stay alert about the risks of the coronavirus.

  • If you have cold symptoms, such as cough/sneezing/fever, feel poorly, and are unable to work, request sick leave. Inform your department manager and Executive Manager and request instructions.
  • If you have a positive COVID-19 diagnosis and are unable to work, request sick leave. Inform your department manager and Executive Manager and request instructions. If you regularly work in the office, you can return to the office only after you’ve fully recovered, with a doctor’s note confirming your recovery.

Exposure prevention

We strongly recommend that all employees take measures to prevent exposure to and avoid potential risks of spreading the coronavirus.

  • If you’ve been in close contact with someone infected by COVID-19, with high chances of being infected yourself, request work from home for at least 14 calendar days and return to the office only if you are fully asymptomatic.
  • If you provide care to a family member infected by COVID-19, request work from home. You will only be permitted to return to the office 14 calendar days after your family member has fully recovered and you are asymptomatic.
  • If you have recently been traveling and returned from any foreign country, we will ask you to work from home for at least 14 calendar days and return to the office only if you are fully asymptomatic.

If you find yourself in any situation listed above, inform your department manager and Executive Manager and request instructions.

Travel and commute

We encourage all our employees to take necessary precautions for safe travel and commute. In order to minimize the risks associated with the spread of coronavirus:

  • We recommend that you request work from home if you normally commute to work by public transport and don’t have any other alternative.
  • We hold the meetings and other communication online where possible, including recruitment interviews, training, language classes as well as informal events and teambuilding activities.
  • We suspend work trips until further notice.
  • We recommend that you request work from home for at least 14 calendar days if you have recently been traveling and returned from any foreign country.

Personal hygiene and space ventilation practices

These are general recommendations for keeping the office clean, well-ventilated and maintain good hygiene practices during the COVID-19 pandemic.

  • Wash your hands regularly using the 20-second hand-washing rule or use sanitizers if soap and water are unavailable. All offices are equipped with hand sanitizers for your convenience.
  • Wear a mask in public spaces if it is mandatory according to local and national regulations.
  • If you need to cough/sneeze, use disposable tissues or your elbow and clean/sanitize your hands immediately.
  • Open the windows in the office space regularly for ventilation.
  • Avoid touching your face, particularly eyes, nose, and mouth with your hands to prevent getting infected.
  • If you find yourself regularly coughing/sneezing, avoid close contact with other employees and take extra precautionary measures (such as requesting work from home or sick leave).
